OEM Coffee Ordering Process, Step by Step, for New Coffee Brands

OEM Coffee Ordering Process, Step by Step, for New Coffee Brands

If you’re planning to launch your own coffee brand — for a café, an F&B chain, or a new venture — but you don’t have a roasting facility and have never worked with an OEM partner before, the first question is usually practical: what does the process actually look like, how long does it take, and what should you have ready before reaching out. This post walks through a typical OEM coffee order step by step, from the first conversation to the day you receive a shipment already packed under your own label.

The steps in a typical OEM coffee order

Whether the order is small or large, an OEM coffee run usually moves through six stages. Knowing the sequence up front lets you plan your launch timeline instead of waiting on guesswork.

  1. Brief & direction: you describe your target customer, the flavor profile you want (bold or light, more acidity or more body), and your expected starting volume.
  2. Sample roast & cupping: the roaster runs a small test batch to your brief, then cups it together with you to dial in the recipe before committing to a full production run — this step is what decides whether the first real batch actually tastes right.
  3. Quote & MOQ agreement: you and the roaster settle on the minimum order quantity, pricing by volume, and an expected production timeline.
  4. OEM production run: the batch is roasted to the recipe locked in during sampling, then packed under the packaging and label you supply.
  5. Pre-shipment quality check: a check on cup quality, moisture, and packaging condition before the order leaves the warehouse, so problems get caught before they reach you.
  6. Delivery & feedback loop: once the product is out in the market, feedback from end customers feeds back into adjustments for the next roast run if needed.

What to have ready before you send an OEM request

How fast an OEM order moves usually comes down to how much of this you’ve already worked out:

  • A clear flavor brief: roast level, an Arabica/Robusta ratio if you want a blend, and a preferred processing method (washed, honey, or natural).
  • Packaging and label design: at minimum a concept, ideally finished artwork — this is usually the slowest part of the whole process, not the roasting itself.
  • An expected monthly or quarterly volume: so the roaster can recommend a realistic MOQ instead of one that’s too small to justify a sample run or too large for your early sales.
  • A target launch date: sampling, cupping, and full production all take real time, and that time needs to be built into your launch timeline rather than assumed away.

Market context

According to reporting by Vân Nguyễn published on VnEconomy on April 20, 2025, Vietnam’s coffee market was valued at roughly US$652.9 million in 2023 and is projected to reach US$1.1 billion by 2030, implying annual growth above 8%; the country’s broader F&B sector counted around 323,010 outlets by the end of 2024, with industry revenue up 16.6% year over year. As the number of new cafés, chains, and F&B brands keeps growing, so does demand for a coffee product carrying a brand’s own name — without that brand having to build a roasting facility of its own. That’s one of the reasons OEM coffee production keeps gaining ground in Vietnam.

Why choose EPIC

  • EPIC has roasted at its own facility in Bình Hưng Hòa, Ho Chi Minh City, since 2014, dialing in the recipe batch by batch — so at the sample-and-cupping stage, the team can tune the roast to the brief you gave rather than pushing a stock profile.
  • Green beans arrive by the sack and are hand-sorted before roasting, then rested before being packed to order — so the OEM batch that reaches you is genuinely fresh, not stock that’s been sitting in a warehouse.
  • EPIC coffee has previously been exported to Russia and the Netherlands, so its production and packaging process is already used to the quality-control expectations of overseas buyers, not just domestic ones.
  • Both the roastery and the café are in Ho Chi Minh City (54/8 Ao Đôi, Bình Hưng Hòa, and 49 Ngô Thời Nhiệm, District 3) — you can walk through the actual roasting and OEM packing process in person instead of coordinating everything by email.
  • Beyond OEM packaging, EPIC also offers custom B2B roasting — useful if you’d rather test a private roast profile first before committing to a larger OEM production run.
